Children's Check-in Roll-Out Plan
Sometime during your setup process, you need to begin communicating with parents about the changes to Check-in. Consider creating any of the following:
- Mass mail campaign to inform parents of the new process. Don't forget to include all the benefits of the new system including security for children, faster check-in lines, convenience of self Check-in, and so on. Urge parents to arrive early on the first weekend you run Check-in to make the process easy.
- Video footage to show in services leading up to the day you want to start Check-in. Create a video showing parents and children checking into an activity. Focus on how fast, easy and painless the change will be.
- Scripts for your volunteers. This may seem silly but the fact is that technology can sometimes overwhelm people and they forget the basic fact that they are greeters first before they are responsible for Check-in.
- Volunteer training plan. Schedule several evenings of volunteer practice sessions so your volunteers will feel completely comfortable using the software. Make sure you download the Check-in User Guide and read through it to make sure you feel comfortable with the process as well.
- Brochures explaining the process so both volunteers and parents know exactly what is happening and how things will change.
- Security rules. Document your security practice for all volunteers to make sure they understand what they should do to ensure children are being released to parents quickly and safely. Ensure volunteers know what to do in cases where a parent has lost the security tag or tries to circumvent the system in any way.
